Interpretations and Definitions

Interpretation

The words of which the initial letter is capitalized have meanings defined under the following conditions. The definitions will have the same meaning regardless of whether they appear in singular or in plural.

For the purposes of these Terms and Conditions:

Acknowledgement

These are the Terms and Conditions governing the use of this Service and the agreement that operates between You and the Company. These Terms and Conditions set out the rights and obligations of all users regarding the use of the Service.

Your access to and use of the Service is conditioned on Your acceptance of and compliance with these Terms and Conditions and Stadium Regulations. These Terms and Conditions apply to all visitors, users and others who access or use the Service.

By accessing or using the Service You agree to be bound by these Terms and Conditions. If You disagree with any part of these Terms and Conditions, then You may not access the Service.

Your access to and use of the Service is also conditioned on Your acceptance of and compliance with the Privacy Policy of the Company. Our Privacy Policy describes Our policies and procedures on the collection, use and disclosure of Your personal information when You use the Application or the Website and tells You about Your privacy rights and how the law protects You. Please read Our Privacy Policy carefully before using Our Service.

Breach or failure to adhere to any one of the terms listed in this document may see the Booking cancelled.

Offending individuals will be refused access to the venue, and may be escorted from the site.

Booking and Confirmation

By making a Booking, You confirm that You are legally capable of entering into a legally binding contract.

All bookings are subject to availability and are only confirmed upon receipt of a signed booking form and deposit (if applicable).

 We reserve the right to cancel any provisional bookings if the signed booking form and deposit are not received within a specified time period.

Payments and Refunds

A deposit is required to secure your booking. A further security deposit is required, which is refundable minus any charges or Damages outlined in section 6.

 Damages exceeding the security deposit will be invoiced and must be paid within the timeframe outlined in the invoice. Failure to do so will result in restrictions to accessing the Service in the future as well as potential legal action.

At the booking manager’s discretion, certain types of events may be exempt from requiring a security deposit.

Payment must be made in full at least 14 days prior to the event date. Failure to pay the balance due will result in the cancellation of your booking.

Additional services hire through Us, outlined in section 8, must be paid within the timeframe outlined in the agreement with the 3rd party.

If any refunds are granted, We will reimburse you no late than 14 days from the date on which the refund was granted.

All prices include VAT.

Cancellations and Amendments

If you need to cancel your booking, you must notify the Venue in writing. The following cancellation fees will apply:

Any amendments to the booking must be agreed upon in writing by both parties. Additional charges may apply.

We reserves the right to cancel the booking at any time if circumstances arise that are beyond its control (e.g., unavoidable circumstance, sport fixtures, health and safety concerns).

If an alternative date cannot be agreed and the booking is cancelled by the Company, ALL payments made in relation to the booking in question will be refunded.

We reserve the right to cancel any booking if we suspect that:

In this case, We may not refund your deposits and the matter may be referred to the local authorities.

Additional Fees

In the event, that an excessive amount of rubbish is left behind (including boxes from decorations, packaging materials, recyclables, etc.), a rubbish removal fee of £50 will be charged to the Client for disposal, taken from the security deposit.

In order to use external suppliers, additional fees may be applicable at the discretion of the booking manager.

The Venue allows 2 hours of set-up time before the event at no additional charge. Should the Client request additional set-up time beyond the standard 2-hour window, additional fees apply which are to be discussed and agreed by the client and the booking manager. This must be discussed and arranged in advance with the event team.

A storage fee for items outlined in Venue Usage will be charged at £25 per day.

You are responsible for any Damages incurred as a result of negligence on behalf of an external supplier.

If the Fire alarm is triggered for anything related to the event, for example, smoking, smoke machines, open flames, etc. You will be liable for any charges incurred.

Damages in relation to forbidden areas, outlined in section Venue Usage will be charged at cost + 50%.

Venue Usage

You are responsible for ensuring that the event complies with all applicable laws, regulations and stadium policies.

 Stadium polices can be found on our website, or they can be requested through the booking manager.

You are responsible for any damage caused to the Venue, its furnishings, equipment, or grounds during the event. The cost of repairs or replacements will be charged to the Client outlined in Payments and Refunds.

Use of pyrotechnics of any kind are forbidden inside the grounds of the stadium without the correct documentation, risk assessments, and permission from the CEO or Directors of the Company.

Confetti, powder, and any other kind of substance which could require extensive cleaning is forbidden and will result in Damages being charged as outlined in Payments and Refunds.

All equipment, decorations, and other materials brought into the Venue must be removed by the Client at the end of the event unless agreed otherwise. If items are left for more than 48 hours, storage fees may be charged at a rate outlined in Additional Fees.

Use of the Service only grants access to areas agreed to in the booking. Additional areas are restricted and maybe locked.

Additional areas include: additional event spaces, quite room, prayer room, etc.

Certain areas are forbidden unless written permission from the Directors is received and access can only be obtained through an escort. These areas include but aren’t limited to: Kitchens, Changing Rooms, Plant Rooms, Sport specific rooms (Gym, Treatment room, etc.), Pitch.

Damage to any of these will be billed in accordance with Additional Fees.

The Stadium has electric vehicle chargers available. For safety reasons, these will be turned off and an agreement must be made with the booking manager to allow use of the chargers.

Fires caused by improper battery maintenance and/or damaged batteries cannot be extinguished. In the event of a fire in the car park, then the venue will be evacuated through alternate exits and the reception area may be inaccessible.

Under NO circumstances will keys be granted to access the building, access can only be achieved with the booking manager or event staff present.

Use of the venue is under the restrictions of the Premises license and the license holder.

Glasses and other vessels capable of carrying food or drink are not permitted to leave the building.

Glasses and bottles are not permitted on any of the balconies or terracing. This is an offence under Control of Alcohol etc. Act 1985.

Catering & External Suppliers

We offer in-house catering services. Costs can be found in the Hospitality Brochure. Food Safety Certificates, Public Liability Certificate, and Hygiene rating can be provided upon request.

In house facilities are not available for external use. Prior approval from Us is required before external caterers are allowed on site. Additional Fees may apply.

All External Suppliers must provide proof of their Public Liability Insurance as well as any risk assessments requested.

For events over a certain size or certain activities, we may mandate the supply of security.

Only alcohol supplied by the venue, under the license holder, may be consumed on the premises. The premises license is displayed in every room serving alcohol under the name of our Bar Manager, who withholds the right to refuse the sale of alcohol to anyone.

Certain External Suppliers can be provided by Us for an Additional Fee.

Security, Decoration, Personnel, DJs, Catering, Equipment, etc. can be sourced by the Company.

Car Parking

Car parking on the site is limited and is dependent on prior commitments.

Privacy & Data Protection

The Company will handle all personal date in accordance with all applicable laws and policies set in place.

Details may be shared with affiliated Companies for communication purposes related to the booking and event.

CCTV is located around the stadium and is recorded and held for 30 days.

Our CCTV Policy is available upon request

CCTV footage is available upon request in the event of an incident, the process is outlined in the CCTV Policy.

The Venue reserves the right to use photographs and pictures taken during the event for advertising purposes, unless the Client has specifically requested in writing that these be excluded.

Health & Safety

The Client must comply with all health and safety regulations and ensure that all guests do the same.

The Venue has the right to refuse entry or remove any person whose behaviour poses a risk to health, safety, or the enjoyment of others.

It is Illegal to smoke inside the premises. Smoking areas can be pointed out by staff but must be at least 5m away from the building and out of the way of any ventilation louvres.

Risk assessments must be produced upon request by the company; we may request risk assessments for any event which may pose a risk to the safety of others.

Liability

The Company shall not be liable for any loss, damage, or injury to persons or property occurring during the event unless caused by the Company’s negligence.

You will be required to confirm the room is fit to use before the event commences

The Client is responsible for ensuring that they have appropriate insurance coverage for the event. Proof of which may be required before the event takes place.

To the maximum extent permitted by applicable law, in no event shall the Company or its suppliers be liable for any special, incidental, indirect, or consequential damages whatsoever (including, but not limited to, damages for loss of profits, loss of data or other information, for business interruption, for personal injury, loss of privacy arising out of or in any way related to the use of or inability to use the Service, third-party software and/or third-party hardware used with the Service, or otherwise in connection with any provision of this Terms), even if the Company or any supplier has been advised of the possibility of such damages and even if the remedy fails of its essential purpose.

Governing Law

The laws of the Country, excluding its conflicts of law rules, shall govern this Terms and Your use of the Service.

Disputes Resolution

If You have any concern or dispute about the Service, You agree to first try to resolve the dispute informally by contacting the Company.

Severability and Waiver

Severability

If any provision of these Terms is held to be unenforceable or invalid, such provision will be changed and interpreted to accomplish the objectives of such provision to the greatest extent possible under applicable law and the remaining provisions will continue in full force and effect.

Waiver

Except as provided herein, the failure to exercise a right or to require performance of an obligation under these Terms shall not effect a party’s ability to exercise such right or require such performance at any time thereafter nor shall the waiver of a breach constitute a waiver of any subsequent breach.

Changes to These Terms and Conditions

We reserve the right, at Our sole discretion, to modify or replace these Terms at any time. If a revision is material We will make reasonable efforts to provide at least 30 days’ notice prior to any new terms taking effect. What constitutes a material change will be determined at Our sole discretion.

By continuing to access or use your Service after those revisions become effective, You agree to be bound by the revised terms. If You do not agree to the new terms, in whole or in part, then do not continue using the Service.
